Position Summary

The Office Supervisor is responsible for the day-to-day operations of the church office, ensuring a welcoming, organized, and efficient environment for staff, volunteers, and guests. This role oversees administrative systems, data entry processes, and guest follow-up workflows to help people take their next step in connecting with the church.

This position requires a highly organized, detail-oriented multitasker with strong communication skills and a heart for serving people.


Key Responsibilities

Office Operations

  • Oversee daily office operations to ensure efficiency and organization
  • Maintain office systems, supplies, and general workspace functionality
  • Serve as the primary point of contact for incoming calls, emails, and in-person guests
  • Create a welcoming and helpful front-office environment

Guest Experience & Follow-Up

  • Oversee guest follow-up processes to ensure timely, thoughtful communication
  • Help ensure every guest is noticed, known, and invited into next steps
  • Coordinate with ministry teams to support assimilation efforts

Data Management

  • Oversee accurate and timely data entry across church systems (e.g., Planning Center)
  • Maintain database integrity and organization
  • Run and manage reports as needed for staff and ministry leaders

Administrative Support

  • Support staff and ministry leaders with administrative needs
  • Help coordinate schedules, communication, and logistics
  • Assist with projects and events as needed

Volunteer Team Development

  • Recruit and train volunteers to support office operations and guest follow-up
  • Schedule and coordinate volunteers to ensure consistent coverage and support
  • Provide ongoing coaching, encouragement, and feedback to build a healthy, engaged team
